OnCrew is a workforce-management platform operated by Platform 360 Pty Ltd (ACN 642 269 805) ("OnCrew", "we", "us"). This policy explains what personal information we collect, how we use it, and the choices you have. It applies to our website and the OnCrew application.
We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth) and, where relevant, the New Zealand Privacy Act 2020.
Information we collect
We collect information you give us and information created as you use the platform:
- Account & contact details — name, email, phone, business name and role.
- Worker information — for agencies using OnCrew: worker profiles, qualifications, licences and tickets, availability, and shift history.
- Sensitive information — where you choose to provide it (for example compliance documents or, for onboarding, tax and bank details). Tax, bank and medical details are encrypted at the application level, and every reveal is logged.
- Location data — when a worker clocks in or out on site, to confirm attendance.
- Usage & device data — pages visited, actions taken, IP address and browser type, to keep the service secure and improve it.
How we use it
- To provide and run the platform — filling shifts, dispatch, compliance tracking, clock-in, timesheets and payroll-ready exports.
- To send service messages, including shift offers and reminders by SMS or voice where you've set that up.
- To keep the platform secure, prevent misuse, and meet our legal obligations.
- To respond to enquiries and provide support.
When we disclose information
We don't sell your personal information. We share it only where needed to run the service or where the law requires:
- Within your organisation — admins, consultants, supervisors and workers see the information relevant to their role.
- Service providers — trusted providers who help us operate (for example hosting, database, and SMS/voice delivery), under confidentiality obligations.
- Legal — where required by law, or to protect the rights and safety of people using OnCrew.
Where your data is stored
OnCrew is operated from Australia by Platform 360 Pty Ltd. We use third-party cloud providers for our database and for web hosting, and their infrastructure is located outside Australia and New Zealand, currently in Asia. This means your personal information — including uploaded documents such as tickets, licences and photos — is stored and processed overseas.
Selected sensitive fields — medical, tax and bank details — are encrypted at the application level, and every reveal of those fields is recorded in the audit log. Uploaded documents such as tickets, licences and photos are not separately encrypted by OnCrew.
Security
We use industry-standard measures — encryption, access controls, two-factor authentication and audit logging — to protect personal information. No system is perfectly secure, but we work hard to keep your data safe and to respond quickly if something goes wrong.
Your choices and rights
You can ask us to access or correct the personal information we hold about you. Workers can update much of their own profile directly. To make a request, contact us using the details below. We'll respond within a reasonable time.
Retention
We keep personal information for as long as needed to provide the service and to meet legal, tax and record-keeping obligations, then securely delete or de-identify it.
